At Embody, we aim to make accessing care as simple, transparent, and supportive as possible. The following information helps ensure appointments run smoothly and that we can offer care fairly to everyone who needs it.

Booking and Payment

Appointments are predominantly booked online. If you are having difficulty with this, please contact the clinic directly using the contact form. To secure your appointment time, payment is taken at the time of booking.

Your appointment time is reserved specifically for you and allows us to provide dedicated, uninterrupted care.

Appointment Cancellation Policy

We understand that sometimes plans change. If you need to cancel or rearrange your appointment, we kindly ask for at least 24 hours’ notice.

  • 24+ hours’ notice: You will receive a full refund or the option to rearrange your appointment at no additional cost.

  • Less than 24 hours’ notice: 50% of the appointment cost will be charged.

  • Did Not Attend (DNA): If you miss your appointment without letting us know in advance, the full appointment cost will be charged.

Providing notice allows us to offer the appointment to someone else who may be waiting for care.

Late Arrivals

We understand that delays can happen. If you arrive late for your appointment, we will always do our best to see you.

However, your session may need to finish at the originally scheduled time to avoid delaying other clients. The full appointment fee will still apply.

If you think you may be late, please contact us as soon as possible.

If Something Unexpected Happens

We recognise that unexpected situations can arise. If something urgent prevents you from attending, please contact us as soon as possible using the contact form and we will always do our best to support you.

Why We Have These Policies

Our appointment times are set aside specifically for each person we see. When appointments are missed or cancelled at short notice, it prevents others from accessing care and leaves valuable clinical time unused.

These policies help us ensure that everyone who needs support has the opportunity to access it.

Appointment Booking Terms

By booking an appointment with Embody, you agree to the following terms:

  • Appointment times are reserved specifically for you.

  • If you need to cancel or rearrange your appointment, at least 24 hours’ notice is required.

  • Cancellations made with less than 24 hours’ notice will incur a 50% charge of the appointment cost.

  • Missed appointments (Did Not Attend / DNA) without prior notice will be charged at the full appointment cost.

We understand that unexpected circumstances can happen, and we encourage you

to contact us as soon as possible if you are unable to attend.

Your First Appointment

Your first appointment is an opportunity for us to understand you, your body, and what matters most to you.

During this session we will:

  • Take time to listen to your story and understand your symptoms

  • Explore your movement, strength, and areas of discomfort

  • Discuss what may be contributing to your symptoms and aim to start treatment

  • Work with you to develop an individualised plan for your recovery

You may also receive hands-on treatment, movement guidance, or simple exercises to begin supporting your recovery.

Our aim is that you leave the session feeling heard, clearer about what is going on, and confident about the next steps.
